Windows users STEP 1 - Install EZPhotoSales using the Auto Installer
  • If you haven't yet, go to The EZPhotoSales Download page and download the installer to your hard drive.
  • click SAVE - NOT RUN and save the installer to your computer. Most people choose to save it to the desktop.
  • When it's on your desktop, double click the installer
  • click RUN

  • Hover over these images to see what the installer looks like every step of the way.
  • Click Next:


  • Enter your FTP info (address, login, password):


  • The installer will create a folder called "OnlineOrdering" on your webspace for your storefront.
    If you want to change the name of your storefront, click "Change" and type a new name. Example: clientaccess, ordering, etc:

  • Click on the BROWSE button and it will look inside your webspace and show you what's there:

    Usually, your root level will already be selected for you, so your system will be installed right at the root level of your website. Some hosting companies put up a directory called "htdocs" or "mydirectory" as the root level, so that's what you would highlight in this step, if it's not already highlighted for you.
    Click "OK" to exit this browse portion.
  • Click Next:


  • The installer will begin working, then it will show you where the files will be uploaded. It will show the root level of your webspace. Don't do anything here, just click Next.:


  • On the next step, CLICK INSTALL:


  • Progress bars will begin, and you can sit back and smile while your system is installed for you:


  • You're done!:


  • If you run into any problems, you can quit the installer and then run it again.
    The installer will detect your incomplete install and you can pick up where you left off.


  • Mac users STEP 1 - Download, unzip, and upload EZPhotoSales
  • If you haven't yet, go to The EZPhotoSales Download page and download the system zip folder to your hard drive.
  • Unzip the compressed folder to a spot on your hard drive.

  • If you received a separate license, be sure to also unzip the license you received and save it in the same folder with the rest of the system files!
    EZPhotoSales won't work without that license!

  • The name of the unzipped folder is "EZPhotoSales", but you can rename that folder to be anything you like.
    Examples: "OnlineOrdering", "ClientAccess", "OnlineViewing", "MyPortraits"
  • Using FTP, upload that entire folder to the root level of your webspace.
  • The link you give clients will be: www.yourphotographysite.com/MyPortraits, or whatever you decided to name that folder.




  • STEP 2 - Pre-Configuration for Mac Users
    IMPORTANT: Inside your webspace open the folder called "configuration" and find the TEXT files called "galleryConfig.txt" and "config.dat". Select them (click on one so it's highlighted) and use your FTP program to change the read/write permissions on the text file.

    This may sound confusing, but it's really not -- WE PROMISE!

  • In WS_FTP, highlight galleryCongfig.txt and "config.dat", right click on one of them, and choose CHMOD from the list.

  • In the box that appears, check all the boxes under "WRITE".

  • In Windows FTP, find the file, right-click on it, and choose "PROPERTIES".

  • Check the "Write" boxes that they are are all checked, then do the same for the other file.


  • Other FTP programs have similar options, so you'll be able to find it easily and turn on "write" permissions for those 2 files.

    Also, turn ON write permissions for these folders: "pricing-menus", "galleryData", and "default" (that one is found inside pricing-menus).


    STEP 3 - Configuration
  • Use your web browser (Safari, Explorer, Firefox, whatever you use) to go on the internet to www.yourwebsite.com/OnlineViewing/configuration using the folder name you specified in STEP 1 above.
  • The configuration page is password protected. Enter this information to access the configuration page:
    User name: admin
    Password: admin

  • Configuration Page Settings
  • Once inside the configuration page, use the "Change User ID" and "Change Password" buttons to set the user ID and password to your own chosen ID & Password.



  • Gallery Editing and Pricing Editing - this is the section where you can set up galleries (more about galleries below) and all of your pricing.
  • Use the "Edit Pricing" button to modify your pricing and offer any items you want to sell in your galleries.
  • You can modify the pricing set that came with your system (add to it, modify it, change it completely), and you can create as many new pricing sets as you want.

  • Upload Header and Logo - this is where you can upload your own custom .jpg header and logo so that your system matches your website's style.

    Info Files - These are the links that will be at the botom of your galleries. They will open up new widows full of any infomration you want to pass along to your customers. use this tool here to add and delete those info files/pop-ups. Accepted file types: .html, .htm, and .txt

    Paypal Settings: - You must have a business PayPal account (free from PayPal.com)
  • PayPal on/off:If you just want to just present galleries and NOT take orders, set PayPal to OFF.
    If you want viewers to be able to shop and place orders, set PayPal to ON.

  • Email address: Enter the email address that you use to collect PayPal payments.
    You must have a PayPal business account to use the EZPhotoSales system.

  • Return & Cancel Pages: If you have your own PayPal return & cancel pages, you can enter the page addresses there, but you don't have to. You can always change them later. Enter the page address starting with "www.", NOT "http://"


  • Entry Page Settings - the entry page is the first page your customers see in your storefront.
  • Passwords: Do you want users to have to enter passwords or not?

  • Gallery Select: Do you want users to type in a login name (the gallery name) in a form text box or select their gallery from a list? If you have a LOT of galleries, you may want to choose the FORM method. Also, if you want a more "private" feel, FORM is the way to go. If you want a list of galleries to choose from, choose LIST; then users only have to remember their password and not a login AND a password.

  • Gallery Categories: If you want your customers to pick from a list of categories, THEN go to another page where they pick their own gallery, set this to ON. If you want to have a list of all of your customer's individual galleries, not broken down into categories, leave this OFF. Category examples: "Weddings", "Portraits", "Sports", etc. see instructions below for more info on setting up categories inside the "galleries" folder

  • Background Color: Choose whatever color you like. White is the most common (bottom right option in the color picker).

  • Entry Page Font Settings: This is the font that will be used for your list or your login area.

  • Logo/Flash Movie: If you didn't have a custom flash intro made for you, set this to "logo"

  • Logo & Flash Movie: This is where your logo & intro are stored. We suggest leaving this along for now and change it later if you want.


  • Entry Page Contact Information
    Your entry page will display whatever contact info you put here using whatever fonts you choose.
    You don't have to fill in everything here. Anything you leave blank won't be displayed.

    Gallery Page Settings Once your clients enter their login info and password, they'll be taken to the gallery page that displays their pictures and menus to purchase them.

  • Header Height: 90 is a good height, but if you want to make your own taller header, you can change this setting.

  • Thumbnail Width: This width includes the scroll bar, so 120 is a good width. Most people set their thumbnail images to a width of 75 pixels and set this thumbnail setting to 120. You can fiddle with it to adjust it later.

  • Info Popup Width/Height: You can dictate the size of your info popup links here.

  • Thumbnail Name On/Off: Your images' file names can be displayed under the thumbnails in the thumbnail column if you like.

  • Pricing Menu Location: Do you want your pricing menus across the bottom of your galleries or down the right hand side? If most of your pictures are vertical/portrait, then you may like having the pricing menus down the side.

  • Navigation Arrows On/Off: There can be "next" and "previous" arrows at the top of your galleries if you like.

  • Gallery Page Title: This is the Title that will be displayed in the very top bar of the browser window. For example, this page's title, if you look above is "EZPhotoSales - online QUICK START instructions"

  • Add to cart & View Cart buttons: You can specify the addresses to your own buttons here if you have some you'd like to use. Just put the images somewhere on your webspace and type the addresses here. Until then, you can use this simple ones we've provided for you here.

  • Right Click Message: This is what viewers will see in the popup window that appears when they try to right-click on anything inside the galleries. Make it as courteous or accusatory as you want.

  • Subgallery Label Text: This will be the text displayed next to your Sub-Gallery pull-down menu if a gallery is split up into smaller sub-galleries.

  • Thumbnail border width & color: Choose the width (in pixels) for a border that will be around your thumbnails.

  • Image border width & color: Choose the width (in pixels) for a border that will be around your gallery images. This is especially helpful for "high key" images inside a gallery with a white page background.

  • Header, Thumbnail, & Gallery Background Colors: Set the background colors for those sections of your galleries.

  • Product Border Color: You can put a 1-pixel-wide border around the pricing menus to give them some separation. You can also just choose to put the border on the top or the side to separate them from their neighbors instead of having a complete box around the whole thing. Just turn on & off whichever ones you want.


  • Gallery Font Settings
    This is pretty self-explanatory, but here are some descriptions:
  • Gallery Title: displayed at the top of the gallery above the images.

  • Photo Title: displayed underneath the current photo selected in the gallery (the filename is used for the title).

  • Product Label: this will be the title above the pricing menus (the filenames of those pricing text files are used for the titles).

  • Product Group: instructions for setting up groups are given in the support forum. I set this to italic grey.

  • Product Menu: this will be the font used for the items and prices INSIDE the pull-down menus.

  • Quantity Label: duh

  • Info Popup: These are the links for the info popups at the bottom of the gallery.


  • info popups: You'll see a folder called "info" in the files you received. Inside that folder are two dummy html files. If you want to add informative popups, write your own html pages, and put them in here (delete those dummy ones). You can put in a file that explains your tax and shipping charges, a file that describes your specialty items or your bulk packages, whatever you want. The file names of those html files will be the links for the popups in the gallery.

    Advanced Settings
    Don't mess with stuff now! Refer to the support forum for more info about these advanced settings.

    When all the settings are the way you want, click on "Save and apply changes"



    STEP 4 - Creating Gallery images with Photoshop
  • Create a folder on your hard drive that will hold a client's online gallery images.

  • If you already have a folder on your hard drive with a client's proofs and images, just put a new folder inside that folder.

  • The folder's name will be the name of the gallery online and the login ID for your clients, if you chose "FORM" in the configuration, so name the folder something descriptive but simple like "Smith".

  • Use Photoshop to fill that client's folder with TWO FOLDERS: "images" and "thumbnails"

  • Please refer to the support forum if you need detailed instructions for this.

  • Those two folders should have only .jpgs inside, and the file names of the images inside one folder will match the file names of the images inside the other folder.

  • BE SURE to put the family/client name in the file names of the images for your gallery!

  • When an order comes in, you'll see the file name, so "Img001" will be confusing if you have more than one gallery online!
  • If there are any extra files inside that folder (left over from the Photoshop automated steps), delete them and just leave the "images" and "thumbnails" folders with the image files inside.

  • Use Photoshop to make as many gallery folders for as many clients as you want.


  • If you have a large gallery (like a wedding gallery, for example), and you'd like to split it into smaller sub-galleries, that feature is now built into EZPhotoSales! All you have to do is put gallery folders INSIDE a client's gallery folder. Inside the "Smith" folder, for example, you can put more gallery folders like "Getting Ready" "Ceremony" and "Reception".
    EACH OF THOSE SUB-GALLERY FOLDERS needs to have the "images" and "thumbnails" folders inside.




    STEP 5 - Create your gallery and fill it with images
  • Use "Edit Galleries" button to enter the Gallery management section of your /configuration area.

  • Press the "Create a New Gallery" button and follow the steps to create a new gallery.

  • use the "Add Thumbnails" and "Add Images" tools to upload your images there (you can upload up to six at a time), OR use your favorite FTP tool to find the "galleries" folder on your webspace. You will find your newly created gallery folders there, and you can fill the "images" and "thumbnails" folders with all of the web-ready images you created in Step 4

  • Use the Black & White tools to create Black & White previews for your entire gallery at once, or use the individual Black & White tool to create or delete Black & White previews for individual images.


  • STEP 6 - Notify clients
    After you've browsed to the galleries online and made sure everything's working, email your clients and give them the link (Example: http://www.yourwebsite.com/OnlineWViewing), their gallery name, and their password that you established in in Step 4.

    STEP 7 - Watch your PayPal account fill up with orders!
    Orders will arrive in your PayPal account and in your email inbox, then you'll fulfill the orders with your favorite vendors.

  • When you want to delete the client's gallery online, simply delete the client's folder from the "galleries" folder on your webspace using your FTP program.

  • That gallery will no longer be in the list on your entry page if you chose "list" in the configuration, and the ID/login won't work if you chose "form" in the configuration.

  • You can also modify the password list using the "Edit Passwords" in the configuration page to take out that password if you want to keep that list clean and organized, but having those extra passwords in the list won't do any damage.
